Our Property Condition Standards
Rent Ready
A Rent Ready property is not simply one that is "good enough to rent." It is a property that is fully functional, genuinely safe, and thoroughly clean, one that signals to a prospective resident that this is a well-managed home they can be proud to live in.
This standard exists to protect three things: your investment, your resident, and your reputation as a property owner.
When a resident moves into a home that meets this standard, lease renewals go up, maintenance disputes go down, and the property's long-term value is preserved.
WHY THIS STANDARD MATTERS
Many landlords underestimate the direct connection between the move-in condition of a property and the behavior of the tenant who occupies it. A resident who moves into a clean, well-maintained home is far more likely to:

Report maintenance issues early, before they become costly

Renew their lease, reducing your vacancy and turnover costs

Leave the property in good condition at move-out
Our job as your property manager is to maximize the return on your investment. That begins before the first showing, it begins the moment we walk through the door.
THE THREE PILLARS OF RENT READY
Every item we evaluate falls into one of three categories:

Functional - Everything present in the home must be properly installed and in full working order. A light switch that doesn't work, a door that doesn't close, or a faucet that drips is not acceptable at move-in. If it exists, it must function.

Safe - No resident should ever move into a home where a safety risk exists. Safety items are non-negotiable and carry no exceptions. This includes smoke and carbon monoxide detectors, secure door locks, adequate lighting, and the structural integrity of all walkways, stairs, and outdoor areas.

Clean - The property must be cleaned to a standard that communicates respect for the incoming resident. We use what we call a hotel-standard clean: every surface, fixture, appliance, and corner of the home should look and smell as though it is being occupied for the first time.
FUNCTIONAL STANDARDS
APPLIANCES
All appliances included in the lease must be in complete working order at move-in.
Cooking Range / Oven

All burners must ignite and function properly

Oven heats to the correct temperature

Range hood fan and light are operational

Hood filter is clean or replaced
Refrigerator

Interior light works

All shelves, drawers, and door bins are present and intact

All knobs and controls are present and functional

Machines complete full cycles without error

All racks and components are present

Unit runs through a full cycle and drains completely

Interior is clean and free of odor
FLOORING
Carpet Carpet must be professionally cleaned at every turnover. If odors persist after professional cleaning, replacement is required. Carpet should be evaluated for the following replacement triggers:

Pet odor or visible pet staining
-
Large stains or burn marks that cannot be removed
-
Fraying at doorways or edges
-
Waves or buckling that cannot be corrected by stretching
If carpet condition is borderline, we recommend replacing it rather than discounting the rent, the caliber of tenant you attract will justify the investment.
Hardwood Floors should be evaluated for sanding and refinishing when:

Scratches have worn through the finish, especially in high-traffic areas
-
Boards are graying or have lost their seal
-
Sun damage or discoloration is widespread
-
Prior pet urine has been absorbed into the wood
Ceramic & Porcelain Tile
-
No surface cracks
-
Grout lines are intact, with no chipping or missing sections
Laminate & Vinyl Plank
-
No water damage or warping
-
No gaps between planks
-
Transitions between flooring types are secured and present no tripping hazard
WINDOWS & WINDOW TREATMENT
-
All windows open, close, and lock properly
-
Windows remain open without risk of falling
-
Window screens are free of tears or holes larger than ½ inch and fit their frames securely
-
Window locks are functional on all operable windows
-
All bedrooms and street-facing rooms must have window coverings for privacy
-
Blinds must open and close smoothly; no more than one broken slat per unit
-
Bathroom windows must have either an operable covering or frosted/obscured glass
LIGHTING & ELECTRICAL FIXTURES
-
All light bulbs are working and match the style of the fixture
-
Bulbs within a single fixture should be uniform in type; mismatched bulbs should be replaced as a set
-
All fixture covers and globes are in place
-
Ceiling fans operate on all speed settings without wobbling or knocking
-
Wall sconces are flush to the wall and properly aligned
-
Outlet and switch cover plates are in place, flush to the wall, free of cracks, and show no signs of burning or heat damage
DOORS & CLOSETS
-
All interior doors open, close, and latch properly without sticking or dragging
-
Door hardware (knobs, handles, hinges) is secure and functional
-
Door stops are installed on all doors where the handle could make contact with a wall
-
Closet doors, including sliding and bi-fold styles, open and close smoothly on their tracks
BATHROOMS
-
Toilet is secure to the floor and does not rock or leak at the base
-
Toilet flush handle is tight and functional
-
Toilet seat is clean, undamaged, and hygienic; replaced if showing signs of wear
-
Tub and sink stoppers are present and functional
-
Tub and shower surround is free of discolored, cracked, or missing caulk and grout
-
Tub surface is not peeling, chipping, or exposing the base material; reglazing required if surface cannot be cleaned to an acceptable standard
-
Vanity doors and drawers open and close properly; hinges and pulls are secure
-
Toilet paper holder is present
-
Towel bars are secure (replacements made in-kind; new hardware is not added without owner approval)
KITCHENS
-
All cabinet doors and drawers open and close properly; hinges and pulls are tight
-
Cabinet interiors are clean and free of water damage, particularly under the sink
-
Gaps around plumbing penetrations through cabinet walls are sealed
-
Countertops are free of peeling edges, significant burn marks, deep staining, or discoloration affecting more than 10% of the surface area
-
Backsplash is properly caulked where it meets the countertop
-
Garbage disposal (if present) is operational and debris-free
-
Kitchen walls and ceiling are free of grease buildup
INTERIOR DETAILS
-
All floor and wall vent covers are clean, rust-free, and secured flush to the surface
-
No visible daylight gaps around exterior doors or windows
-
Electrical panel breakers are clearly labeled
-
Thermostat batteries are replaced at every turnover
-
The property is free of any evidence of pest activity (roaches, mice, ants, or other pests)
ITEMS LEFT BEHIND
All personal property, furniture, and belongings of prior occupants must be removed before the Rent Ready inspection. The only exceptions are:

Extra materials relevant to the property (paint, tile, siding) stored neatly in a single designated area such as a utility closet or garage corner
-
Clean, stable shelving in a closet or pantry that does not interfere with the resident's use
-
Usable patio furniture that is functional and presentable, with owner acknowledgment that the resident may discard it if unwanted
EXTERIOR
-
Soffits are intact with no gaps or holes
-
Gutters are clear of debris and draining properly
-
Deck and porch boards are secure, rot-free, and free of protruding nails or fasteners
-
Concrete walks and driveways present no tripping hazards
-
Dryer vent cap is present and functioning to prevent animal entry
SAFETY STANDARDS
Safety items carry zero exceptions. Every property must meet all of the following requirements prior to occupancy:

Smoke Detectors - Present and functional in every bedroom and on every level of the home, per applicable state and local codes
-
Carbon Monoxide Detectors - Present and functional in every bedroom and on every level of the home where fuel-burning appliances exist
-
Door Locks - All entry door locks function as designed; deadbolts and latch hardware are secure
-
Exterior Lighting - All existing exterior light fixtures are operational
-
Fencing - Any fencing on the property is free of sharp edges, broken boards, or unstable sections
-
Window Wells - Window wells deeper than three feet have protective covers installed
-
Garage Doors - Overhead garage doors open, close, and reverse properly on all settings
-
Unit Identification - In multi-unit buildings, all unit doors are clearly labeled with the unit number or letter
-
Fireplaces - Gas and wood-burning fireplaces must be professionally inspected and cleaned on a regular service cycle; any fireplace that is not safe for use must be disclosed to the resident in writing prior to lease signing
CLEANLINESS STANDARDS
We expect every vacant unit to be cleaned to a hotel-room standard before move-in. There is no exception to this requirement.
Throughout the Entire Home

Vacuum all carpeted areas; sweep and mop all hard surface floors
-
Wipe all baseboards, door frames, and trim
-
Clean all window glass (interior), sills, and tracks
-
Dust and wipe all ceiling fan blades
-
Clean all vent covers (hot soapy water)
-
Wipe down all cabinet and drawer interiors with disinfectant
-
Remove fingerprints and smudges from all doors and door frames
-
Dust all window blinds
Kitchen
-
Deep-clean oven interior and racks; use appropriate oven cleaner
-
Degrease stovetop, burner grates, hood fan, and all controls
-
Clean refrigerator and freezer interior and exterior
-
Clean microwave inside and out
-
Run dishwasher on empty with a cleaning cycle
-
Polish stainless steel surfaces with appropriate stainless cleaner (not glass cleaner)
Bathrooms
-
Scrub tile grout with appropriate grout cleaner
-
Clean entire toilet including the tank lid, base, and behind the unit
-
Scrub tub and shower surfaces; polish faucets and showerhead
-
Clean mirror and medicine cabinet
-
Wipe all surfaces with disinfectant
COMMONLY OVERLOOKED AREAS
Cleaning crews must specifically address:

Switch plate and outlet cover surfaces
-
Door frame edges and the bottom half of all exterior-facing doors
-
Ceiling fan blade tops and light kit globes
-
Supply and return vent grilles
-
Interior and exterior of all cabinet doors
PAINT STANDARD
When Painting Is Required
Walls must be repainted when any of the following conditions exist:
-
Surfaces cannot be wiped clean with a standard cleaning product
-
Holes or damage remain from picture hooks, TV mounts, curtain rod brackets, or other fixtures that were removed
-
Scuffs, marks, or discoloration affect the visual appeal of the space and its marketability
-
Our Rent Ready inspection identifies paint condition as a leasability concern
When Painting Is NOT Required
-
Fewer than 10 small nail holes exist throughout the home and no painting is otherwise planned
-
TV mount brackets or curtain rod hardware is being left in place in a room that is not being painted
Paint Specifications
All touch-up and repainting work must use colors consistent with the property's existing finishes. Trim is painted in semi-gloss white. Wall color specifications are maintained per property. Painting one wall in a room typically requires painting the entire room for a consistent finish.
LANDSCAPING STANDARDS
The exterior of the property is the first thing a prospective resident sees. At every turnover, landscaping must meet the following minimum standard:

No overgrown or unkempt bushes or shrubs
-
All lawn edges are trimmed and defined
-
No tree branches resting on the roof or overhanging garage
-
Pathways and entry areas are clear of obstructions
-
No weeds taller than three inches, or any weeds growing into the foundation or window wells
-
Mulch beds, landscape borders, and stone edging are tidy and intact
-
Fruit or berry trees are not actively dropping debris onto walkways
Single-Family Homes: At turnover, Hartwig & Meyer will assess whether a seasonal cleanup is needed before the property is shown. If the landscaping scope exceeds what a resident can reasonably maintain, we will discuss with the owner whether a landscaping service should be arranged and built into the rental terms.
Multi-Unit Buildings: Landscaping and snow removal are arranged and managed by Hartwig & Meyer on behalf of the property owner.
THE VALUE OF COMMITMENT IN RENT READY
We understand that preparing a property for rent involves cost and effort. But there is an important distinction between repairs and value improvements, and both matter.
Repairs are non-negotiable. Broken, worn, or non-functional items must be addressed. A property that clearly hasn't been maintained sends a signal to prospective tenants and it will attract tenants who expect less and respect less.
Value improvements such as updating dated flooring, refreshing paint colors, or replacing aging appliances are opportunities to elevate your rental rate, shorten your vacancy period, and attract a stronger pool of applicants. We are here to help you evaluate which improvements make financial sense for your specific property.
Our commitment to you is straightforward: we will not list a property that does not meet our Rent Ready standard. This protects you, your residents, and the integrity of every home we manage.
